Odoo implementation in brief

  1. Choose apps
  2. Configure
  3. Move data
  4. Train
  5. Support

An Odoo implementation is the work of choosing the right Odoo apps, configuring them for your process, moving your data in, training your team and supporting you after go-live. It suits wholesale distributors, manufacturers and multi-location or field service businesses of roughly 20 to 200 people that have outgrown spreadsheets and disconnected tools. We start with three or four core apps and add more in phases.

As your Odoo implementation partner, we handle the setup, data migration, integrations, training and support after go-live, with the same team from the first call to the monthly care plan.

Signs you have outgrown QuickBooks, Zoho or spreadsheets

If a few of these sound familiar, one connected system is probably worth a conversation.

  • You enter the same customer or order in two or three places.
  • Stock levels live in a spreadsheet that someone has to update by hand.
  • You cannot see profit by job, project or product line without a manual report.
  • Your sales tool, accounting tool and inventory tool do not talk to each other.
  • Month end close depends on one person who knows which tabs to trust.
  • A custom app or macro built years ago is now too risky to change.

Sometimes the honest answer is to stay where you are. We will tell you if that is the case after a short call.

What we set up in Odoo

Odoo is a suite of apps that share one database. We usually start with three or four and phase in the rest.

  • Accounting and Invoicing

Invoices, bills, bank reconciliation and reporting in the same system as your orders.

  • CRM and Sales

Leads, quotes and orders in one pipeline, tied to invoicing.

  • Inventory and Purchase

Stock, reorder rules and purchase orders that match what is on the shelf.

  • Manufacturing (MRP)

Bills of materials, work orders and manufacturing steps in the same system as stock and purchasing.

  • Quality

Quality checks on incoming goods, production and deliveries, recorded with the order they belong to.

  • Field Service

On-site work orders, parts and visits for teams that serve customers away from the office.

  • Planning

A schedule of what to make, buy or staff, based on the orders and stock already in Odoo.

  • Multi-warehouse / multi-company setup

Warehouses, locations and companies set up so stock and books can be kept separate and still report together.

  • Project and Timesheets

Track time and cost by project and bill from the same data.

  • Subscriptions

Recurring billing and renewals for service and software customers.

  • eCommerce

An online store connected to your stock and accounting.

  • Helpdesk

Support tickets linked to the customer record.

App availability depends on your Odoo plan and hosting choice. We confirm this in discovery.

Our Odoo services

  1. Discovery and demo workshop
  2. Quick-Start (CRM, Sales and Invoicing)
  3. Standard Implementation
  4. Customization and integrations
  5. Migration from QuickBooks or Zoho
  6. Training
  7. Monthly care plans

Discovery and demo workshop

A focused working session where we map your current process, show you Odoo on a sample database and write down a scoped proposal. You leave with a clear plan whether or not you hire us for the build.

Quick-Start (CRM, Sales and Invoicing)

A fixed-scope rollout for a smaller team that needs to get quotes, orders and invoices into one system fast. Includes data import and a training day. Best for teams that do not need inventory or custom work yet.

Standard Implementation

A fuller rollout covering Sales, Purchase, Inventory and basic Accounting, with data migration, testing in a staging copy, training and go-live support. Scope is fixed in writing after discovery.

Customization and integrations

When your process does not fit the standard setup, we build custom modules and connections in Laravel, n8n and the Odoo API. Billed by the hour or in prepaid blocks.

Migration from QuickBooks or Zoho

We export your lists, balances and open invoices and bills, map them to Odoo, test the import in a staging copy and reconcile to your last signed trial balance before cutover. There is no one-click converter, so we do this carefully. Your old system can run in parallel until your accountant signs off.

Training

Role-based remote sessions for the people who will use the system every day: sales, warehouse, finance and managers. We focus on your workflows, not a generic tour.

Monthly care plans

After go-live, a monthly plan with a set number of support hours covers fixes, user questions and small improvements. You choose the level that fits your team.

We scope one implementation at a time so your project gets senior attention.

Odoo plus Laravel, n8n and AI integrations

Most businesses run more than one system. This is where we are different: the same team that sets up Odoo also builds the connections around it.

  • Laravel and API integrations

Connect Odoo to your customer portal, internal tools or other software through Odoo's external API.

  • n8n workflows

Automate hand-offs such as new lead to quote, invoice reminders, low stock to purchase order and support ticket triage.

  • Custom modules

Add the fields, screens and rules your process needs when the standard apps fall short.

  • AI automation with a person in the loop

Use AI for things like lead routing, document summaries and repetitive back-office steps. Anything that goes to a customer or changes a financial record gets approved by a person first.

These are typical patterns, not a list of past client projects. The external API is available on Odoo's Custom plan. Custom modules need Odoo.sh or your own hosting, not Odoo Online. Odoo 19 Enterprise includes configurable AI agents. We confirm what applies to you in discovery.

How we work

  1. Fit call (30 minutes, free)

We learn how your business runs, what you use today and what is not working. We tell you honestly if Odoo is a fit.

  2. Discovery and scoping

We map your process, agree which apps come first and write a scoped proposal with timeline and cost drivers.

  3. Configure and migrate

We set up Odoo, import your data into a staging copy and reconcile it with your records. You review it before anything goes live.

  4. Train and run in parallel

We train your team on your workflows. Where it makes sense, your old system runs alongside until your numbers match.

  5. Go live and care

We support cutover day and the weeks after. Then you can move to a monthly care plan or manage on your own.

Industry range for a focused small business rollout is often quoted as 4 to 8 weeks, and 8 to 16 weeks or more with accounting migration, integrations or custom work. We confirm your timeline in writing after discovery.

Who it fits

We work best with owners, COOs and CFOs at businesses of roughly 20 to 200 people in Frisco and Dallas-Fort Worth that run on spreadsheets, QuickBooks, Zoho or an aging custom app.

  • Wholesale distribution

Purchasing, warehouse stock, sales orders and accounting that stay in step.

  • Manufacturing

Bills of materials, work orders and inventory tied to purchasing and cost.

  • Multi-location / field service businesses

More than one site, or a team in the field, with work, parts and invoices in one system.

  • Real estate and brokerage back office

Leads, deals, commissions and accounting in one place instead of several.

  • E-commerce, retail and wholesale

Inventory, orders, purchasing and accounting that agree with each other.

  • Professional services and agencies

CRM, projects, timesheets and invoicing without copying data between tools.

  • Software and claims firms

ERP plus custom integration with the platforms you already built or bought.

Odoo implementation partner for Dallas-Fort Worth

We work with businesses across the Dallas-Fort Worth area, from Frisco, Plano, McKinney and Allen to Dallas, Irving, Arlington and Fort Worth. Our US contact is in Frisco. Fit calls and training sessions run remotely, so where you are in the metroplex does not change how the project runs. Businesses elsewhere in the US are welcome too.

What an Odoo project costs

Paid to Odoo

Licences

Depends on the plan and how many people use it.

Paid to Soft Pyramid

Implementation

Quoted after discovery, once the scope is real.

There are two costs. Odoo licences are paid to Odoo and depend on your plan and number of users. Our implementation fee depends on your users, the apps you need, how much data we migrate, any integrations and any custom work. See current licence prices at Odoo pricing.

We quote after a discovery call so the number matches your real scope. Odoo also offers its own Success Packs, and for some smaller teams that is enough. We will tell you when a partner is worth it: migration, integrations, custom modules, US-hours support and ongoing care.

Odoo compared with the alternatives

QuickBooks

Good fit when: You are small, mostly need accounting, and your process is simple.

Watch out for: Add-ons pile up as you grow. Inventory and projects get awkward.

Zoho

Good fit when: You already use several Zoho apps that work well together.

Watch out for: Each Zoho app has its own data model, so cross-app reporting takes effort.

NetSuite

Good fit when: You are a larger company that wants a heavy enterprise platform.

Watch out for: Cost and complexity are often more than a small team needs.

Odoo

Good fit when: You want connected apps on one database and room to customize.

Watch out for: You still need a clear scope, clean data and someone to own the project.

If QuickBooks or Zoho works well for you, stay. If you are patching tools together, talk to us.

Frequently asked questions

Yes. Each Zoho app has its own data model, so we map contacts, products, invoices, bills and open balances app by app, test in staging and reconcile before go-live. If Zoho CRM works well for you, we can keep it and connect it to Odoo instead of moving everything.

A partner pays off for a QuickBooks or Zoho migration, inventory and multi-warehouse setup, multi-location operations, integrations, custom modules, and US-hours support. A small team with a straightforward setup may not need one, and we will say so.

Yes, through Odoo's external API and through n8n workflows. The external API is listed on Odoo's Custom plan. Custom modules cannot run on Odoo Online and need Odoo.sh or your own hosting. We confirm what applies to you in discovery.

Yes. Odoo 19 Enterprise includes configurable AI agents, and custom tools or other AI models need development. We build them so a person approves anything that goes to customers or changes financial records.
